Introduction

Citations provide transparency and credibility to the answers given by the Expert. They allow users to verify the accuracy and origin of the information. Citations are generated automatically and cannot be customized, ensuring consistency and accuracy of the citation. Citations are displayed alongside the Expert's answers for easy reference.

Citations by Data Source

Answers Derived from Public Websites

URLs of public websites where the answer was generated from are always provided as a citation. This feature cannot be disabled.

Answers Derived from Files

The original files/documents will be presented as a citation for users to download and review if the document has been retained (based on the admin's preferences). Files retained for citations are encrypted at rest. Deleting source files prevents them from being used to provide citations during conversations.

Answers Derived from Custom Questions & Answers

No citation is provided for answers derived from custom questions and answers.

Answers Derived from General LLM Knowledge

No citation is provided for answers derived from general Language Model (LLM) knowledge.

File Upload Data Retention Options

Admins can configure file upload data retention settings to determine how long the files should be retained for citation purposes. These settings can be accessed as follows:

  1. In the left navigation, under settings click Experts.
  2. From the list of Experts, click the pencil icon on the Expert you'd like to add data to.
  3. Click on the Data tab.
  4. Click on the Files sub-tab.
  5. Use the radio buttons under the heading Data Retention to choose an option.

Options

  • Keep a copy of the files I upload for citations. (default)
  • Delete files immediately after processing.

Expert-level Data Retention Options

Admins can configure data retention settings at the Expert level. Follow these steps to access these settings:

  1. In the left navigation, under settings click Experts.
  2. From the list of Experts, click the pencil icon on the Expert you'd like to add data to.
  3. Click on the Settings tab.
  4. Click on the Security & Privacy sub-tab.
  5. Use the dropdown under the heading Data Retention to choose an option.

Options

  • "Let me choose each time I upload data" (default) - Person adding data decides on data retention for each upload.
  • "Always delete data immediately after processing" - Disables the option to choose at the upload screen and deletes files immediately after processing, preventing citations.
  • "Always retain a copy of data for citations" - Disables the option to choose at the upload screen and always retains a copy of the data to enable citations.

Workspace-level Data Retention Options

Admins can configure data retention settings at the workspace level. Follow these steps to access these settings:

  1. In the left navigation, under settings click Workspace.
  2. From the list of Experts, click the pencil icon on the Expert you'd like to add data to.
  3. Click on the Security & Privacy tab.
  4. Click on the Data Protection sub-tab.
  5. Use the dropdown under the heading Data Retention to choose an option.

Options

  • "Use Expert Settings" (default) - Follows the data retention settings configured for each Expert.
  • "Disabled for all Experts - Delete Data Immediately After Processing" - Overrides individual Expert settings and deletes data immediately after processing, preventing citations.

File Deletion

If a file is removed from an Expert's file data sources, the original file kept for citation is also removed.

Removing all Files Retained for Citation from an Expert

This feature deletes the source files only, not processed data. Unless the file is removed from the Expert's data set, the Expert will still answer based on the file. To remove these files, follow these steps:

  1. In the left navigation, under settings click Experts.
  2. From the list of Experts, click the pencil icon on the Expert you'd like to add data to.
  3. Click on the Settings tab.
  4. Click on the Security & Privacy sub-tab.
  5. Click the button under the heading DELETE SOURCE FILES called Delete All Source Files.

Removing all Files Retained for Citation from all Experts within the Workspace

This feature deletes the source files only, not processed data. Unless the file is removed from the Experts data set, the Expert will still answer based on the file. To remove these files, follow these steps:

  1. In the left navigation, under settings click Workspace.
  2. From the list of Experts, click the pencil icon on the Expert you'd like to add data to.
  3. Click on the Security & Privacy tab.
  4. Click on the Data Protection sub-tab.
  5. Click the button under the heading Delete Source Files called Delete All Source Files.

Note: Not retaining files for citations or deleting source files removes the files used for citations, but as long as the contents of those documents are in the File data source, the Expert retains their content as knowledge and can recall any information from them.
