Introduction

Effective user account management is crucial for leveraging EveryAnswer's capabilities. This documentation outlines the process of creating and managing user accounts within the EveryAnswer platform, ensuring that your team can efficiently utilize AI-powered chatbots across different workspaces and Experts.

User Account Basics

Every user account on EveryAnswer is linked to a unique email address. One email address can be associated with multiple workspaces, but users cannot have multiple accounts with the same email address.

Account Creation

New Users

New users typically create their accounts in response to an invitation. The email address used in the invitation becomes their account email.

Invitation Process

Workspace Admins and Expert Admins can invite users to join specific Experts within the workspace. Invitations can be sent to one or more email addresses, and the inviter can select one or more Experts to which the user will be given access.

  • Workspace Admins can invite users to any Experts within their workspace.
  • Expert Admins can invite users to their specific Experts.
  • Bulk invitations are supported by adding or pasting a list of email addresses into the invite screen.

Account Creation and Workspace Membership

New User Sign-Up

When a new user accepts an invitation and signs up, they become an EveryAnswer user. Upon sign-up, they are automatically added as a user of the workspace(s) containing the Expert(s) they were invited to. New users gain access to these specific Experts within each workspace.

Handling Invitations for Existing Users

If an invited email is associated with an existing EveryAnswer account:

  • The user is automatically added to the workspace(s) containing the invited Expert(s).
  • They gain access to the specific Expert(s) they were invited to.
  • They receive a notification about their new access.

User Roles

User roles determine permissions and access levels within EveryAnswer.

Workspace Level

  • Workspace Admins: Have broad administrative permissions across the workspace.
  • Workspace Users: Have limited permissions based on their assigned role.

Expert Level

  • Expert Admins: Have administrative permissions for specific Experts.
  • Expert Users: Have user-level access to specific Experts.

Role Assignment

Workspace Admins can assign or change roles for other users. Creating an Expert automatically makes the creator an Expert Admin for that Expert.

User Profile Management

Users can manage their own profiles within the EveryAnswer platform. Editable profile information includes:

  • Profile picture
  • First Name
  • Last Name
  • Email Address
  • Country
  • Time zone

Workspace Membership

Users can be members of multiple workspaces, and each membership can have different roles and permissions. This allows flexibility and granular control over user access within EveryAnswer.

Expert Access

Users are added to or invited to one or more specific Experts. Access to each Expert is managed separately within a workspace, providing tailored access control.

Account Security

Password Setup

Users set up their password when creating their account. They can change their password in their profile at any time or request a password change. Admins can also initiate EveryAnswer to send a password reset email to a user.

Password Requirements

All passwords must meet the following requirements:

  • One lowercase character.
  • One number.
  • One uppercase character.
  • One symbol.
  • 8 characters minimum.
